Terms & Conditions for university admission

Before you sign and submit your application, it is extremely important that you carefully read the Terms and Conditions that apply to your chosen universities in the USA and Canada.

When you sign your application, these Terms and Conditions form contractual obligations between you and Study Group Canada Limited ("Study Group Canada") or Study Group USA Higher Education LLC ("Study Group USA").

Participant responsibility

The price for the Study Group USA Higher Education LLC invoiced program does not encompass additional ancillary expenses, including but not limited to:

  1. Personal spending money.
  2. Insurance for pre-existing medical conditions, i.e., ailments which exist prior to arrival in the U.S.
  3. Meal and housing costs during the few times the university is officially closed – usually limited to the Thanksgiving holiday in late November, the Christmas holiday (which normally lasts about four weeks) and Spring vacation (approximately 10 days).
  4. University textbooks and other necessary school supplies.
  5. Air fare to and from U.S. domestic airport closest to the university campus in the United States (a round trip ticket is required).
  6. Extra costs for ESL which may be required by a student whose English language proficiency is inadequate.

Rules

All participants in the Study Group USA Higher Education LLC program are subject to the rules of the university in which they are enrolled. Students must assume full responsibility for compliance. Students must adhere to all housing regulations of the university, to include payment, withdrawal, and cancellation. Rules governing alcohol, tobacco, controlled drugs and other serious offenses will be strictly enforced. Applicants are reminded that international students in the United States must comply with both the letter and the spirit of the law in order to retain valid student visas. Violations of such laws will render the participant liable for immediate dismissal from the program and repatriation to the home country, if not legal prosecution for violation of the laws of the state or federal jurisdictions involved. No refund of fees will be made in the event of dismissal or withdrawal. Students seeking transfer between the date of initial arrival in the United States and the first day of classes may have their I-20 cancelled by the institution to which they were accepted, and no refunds will be granted. Admission is subject to eligibility and availability. Early application and payment is advised.

Payment Policy:

Students are required to pay a deposit directly to Study Group USA Higher Education LLC before they receive an I-20 form from the partner institution. Deposit amounts vary. Payment for the Fall semester is due July 25. Payment for the Spring semester is due December 15. Payment for the Summer semester is due April 10. All students are required to pay the invoiced amount in full and in advance of the semester start date. Students accepted by an institution after the billing due date are required to pay their deposit immediately upon receipt of the student visa, and are required to pay their bill in full prior to their departure for the United States, or within thirty days of deposit, whichever comes first.. Students with outstanding balances will be immediately placed on hold by the host institution, and may be barred from attending classes until payment is made in full.

Payments

Payment can be made to the International Study Center using a number of payment options via our PayOnline platform. Access to this platform can be found at: http://studygroup.com/isc/jmu/pay

Certain payment options will carry a processing fee of 2.5%. We reserve the right to alter this charge from time to time.

If you choose to pay in your local currency a foreign exchange rate will apply. The applicable exchange rate can be viewed online as at the time and date of the payment. Bank charges and commission for both the sending and receiving banks should be paid by the sender of funds or they will be applied to the student's account.

Study Group Higher Education North America Refund Policy and Guidelines for Students

General Refund Policy

All refunds will be sent to the account of the individual from whom Study Group has received the original direct payment, either the student or the Study Group representative to whom the fees were originally paid and in the form of payment originally received (if possible)

Cancellation

  1. Rejection of Applicant: If an applicant is rejected for admissions by Study Group or its partners, or if a prospective international student has his/her visa application rejected, a full refund of all tuition or deposit monies paid will be made to the applicant.
  2. Program Cancellation: If Study Group or a partner institution cancels a course subsequent to a student’s start date, Study Group will refund all monies paid by the student.
  3. Cancellation Prior to the Start of Class or No Show: Except under the circumstance identified below in # 4, if an applicant accepted by Study Group cancels prior to the start of scheduled classes or never attends class (no show), Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrollment agreement as being non-refundable.
  4. Cancellation Prior to the Start of Class or No Show: If an applicant accepted by Study Group enters the United States on an I-20 issued by Study Group’s partner and subsequently cancels prior to the start of scheduled classes or never attends class (no show), Study Group may retain:
    • For a program of less than 12 weeks (typically the summer session), all the tuition charges for up to four weeks of the first term/session, actual housing costs incurred by the Study Group, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.
    • For a program of 12 weeks or more, all the tuition charges for up to six weeks of the first term/session, any actual housing costs incurred by Study Group and, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.

Non-refundable charges

The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Cancellation may occur when the student provides a written notice of cancellation by email, mail, hand delivery, or verbal notification to the Study Group's Admissions Center.

The written notice of cancellation is effective when date stamped by email, deposited in the mail properly addressed with proper postage, or date received by Study Group.

The written notice of cancellation need not take any particular form and, however expressed, it is effective if it shows that the student no longer wishes to be bound by the Enrollment Agreement.

If the Enrollment Agreement is cancelled, Study Group will refund the student any money he/she paid that is due to be returned within 45 days after the notice of cancellation is effective or the first day of scheduled class, whichever is earlier.

Withdrawal/Termination

For the purpose of determining a refund under this section, a student shall be deemed to have withdrawn (date of determination) from the course of instruction when any of the following occurs:

  • The student notifies Study Group of his/her withdrawal by providing in writing the intent to withdrawal to the Center Director of the International Study Center.
  • Study Group terminates the student's enrollment for failure to maintain satisfactory progress; failure to abide by the rules and regulations of Study Group or its partner; absences in excess of maximum set forth by Study Group or its partner; and/or failure to meet financial obligations to Study Group or its partner.
  • Failure to return from a leave of absence.

The amount owed to Study Group equals:

Semester: For students who withdraw at any point in the first four weeks, Study Group may retain the charges applicable to the first four weeks. For students who withdraw after the first four weeks but before or at the mid-point of the semester, Study Group may retain a prorated amount of tuition. For students who withdraw after the midpoint, Study Group may retain all of the charges for that semester.

Prorated refunds will be calculated on a weekly basis. When determining the number of weeks, Study Group will consider a partial week the same as if a whole week were completed, provided the student was present at least one day during the scheduled week.

Subsequent Semesters: For students who withdraw after completing the first semester but before or at the midpoint of any subsequent semester, Study Group may retain a prorated amount of tuition up to the midpoint. For students who withdraw after the midpoint of any subsequent semester, Study Group may retain all of the tuition for that semester.

Study Group is not obligated to make refunds to students who are terminated due to violation of Study Group's written disciplinary and/or attendance policies or local, state, or federal law or those of its partners.

For payments beyond the current semester: For students who withdraw or are withdrawn prior to the next semester, all charges collected for the next semester will be refunded.

Charges Other Than Tuition: All extra costs, such as university fees, laboratory fees, rentals and any similar charges are not included in the tuition price and are non-refundable. These fees include university fees, lab fees and activity fees. These fees and their relevant charges are itemized on student invoices and statements.

Students are bound by the terms as defined in any student housing agreements.

Non-refundable charges. The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Payments: Any amount of the refund in excess of the unpaid balance shall be paid within 45 days of the date of determination. If any portion of the tuition was paid from the proceeds of a third party, the refund shall be sent to the third party.

Academic Scholarships:

Study Group Higher Education North America offers scholarships to recognize strong academic achievement.

  1. Scholarships are offered during specified dates and students will be notified when applications are available to apply
  2. Scholarships are available for undergraduate applicants that meet specified academic entry criteria as determined by Study Group
  3. Scholarships may only be applied to the final 2 semesters of the International Year 1 or Global Gateway Program
  4. If a student is awarded a scholarship, they will be notified in writing within 30 days.
  5. If a student is awarded a scholarship and subsequently cancels or defers their program, the scholarship is forfeited. Any remaining funds for the scholarship are also cancelled.
  6. Government sponsored students are not eligible for scholarships

Study plan changes

  1. Upon arrival, students will be given a placement examination to assess their English language level. Many institutions also require an assessment in Math. As a result, the length of study may be longer than originally anticipated, incurring extra costs for which the student will be responsible.
  2. Students are required to complete their study plan by remaining on campus for consecutive Fall, Spring and Summer semesters.

Progression

Progression at the end of any given semester is dependent on successfully passing all courses in that semester and necessary progression requirements. Partner institutions may have additional requirements for progression. These additional requirements will be reviewed during orientation. On successful completion of the program/course and having achieved the progression requirements the student will be entitled to proceed directly to your degree program at the respective institution.

Undergraduate students are conditionally accepted to a university, not necessarily into a particular program of study. The university reserves the right to impose additional academic requirements post arrival (such as minimum grade point average) before a student is formally admitted into a particular program of study.

Insurance

All students are required to be properly insured. StudyCare or university-based insurance will be automatically added to your booking, unless proof of comparable insurance is provided upon application. Please note that StudyCare includes services beyond typical health insurance policies in the United States, e.g. cancellation, emergency repatriation, personal liability etc.

US-based health insurance is mandatory for all students. Insurance policies based in countries outside of the United States will not be accepted as reasonable substitutes. While Study Group provides StudyCare Insurance, some Institutions will require students to have a student health insurance policy directly from the institution instead. Insurance coverage begins upon arrival and insurance cards are issued post arrival on campus.

Damage and Liability

Any reference in these terms to liability of students shall also infer liability on the parent or financial sponsor, and such liability is joint and several. Students are responsible for payment for any damage caused by them to Study Group USA Higher Education LLC/institution property, including fixtures and fittings in university-approved accommodation. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings and the university reserves the right to recover costs for damage or exceptional cleaning.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (agents, publications, etc.) at our discretion as long as the images are used to publicize Study Group programs.

Data protection

Any information provided to Study Group USA Higher Education LLC may be held on computer and shall be used in accordance with US law, including FERPA, HIPAA, and ADA. Study Group USA Higher Education LLC is an Equal Opportunities provider. Information provided to Study Group USA Higher Education LLC is held and processed for the purpose of administering your application, and may be carried forward to your official student record, which holds data in electronic and paper form on your personal details, academic and administrative history and on relevant financial transactions. After you leave, the parts of your student record which the college or university needs to retain will be archived. Some information will also be processed for the purpose of managing our relationship with you as an alumnus. Other information will be destroyed. Throughout, your personal data will be held in accordance with current US data protection law.

Variation

No variation to these conditions is valid unless agreed in writing by the Center Director and approved by the Managing Director, North America provided always that the Study Group USA Higher Education LLC reserves the right to make any addition, amendment or alteration to these conditions upon giving one semester's written notice of such change to all affected students.

Communication

All students must supply Study Group USA Higher Education LLC with personal e-mail addresses and mobile/cell numbers prior to arrival, in order that communication, to include transmission of student reports, may be maintained at all times. Please also advise of any changes as they occur.

Agreement and release

I apply to enroll the person named as a student of Study Group USA Higher Education LLC. I agree to pay all fees incurred by the student as they become due, and either give the required notice of cancellation or to pay the required fees in lieu of notice. I agree to abide by the terms and conditions of Study Group USA Higher Education LLC.

I give permission for the administration of first aid and appropriate non-prescription medication to my child, and give permission to Study Group USA Higher Education LLC and designated representatives to seek medical, dental or optical treatment when required. I am the parent or legal guardian named. We do hereby authorize Study Group USA Higher Education LLC and its assigned agents, and any designated program representative, as agents of the undersigned parents, to consent to any x-ray examinations, anesthetic, medical or surgical diagnosis or treatment, or hospital care which is deemed advisable by, and is rendered under, the general supervision of any licensed physician or surgeon, whether such treatment or diagnosis is rendered at the office of said physician or surgeon or at a hospital. It is understood that this authorization is not given in advance of any specific diagnosis, treatment or hospital care being required, but is given to provide authority and power on the part of aforesaid agents to give specific consent to any and all such diagnoses, treatments, or hospital care which the aforementioned physician or surgeon, in the exercise of her/his best judgment, may deem advisable.

 

We waive and release all claims against Study Group USA Higher Education LLC and its agents for any injury, loss, damage, accident, delay or expense resulting from the applicant’s participation in the program. We also release Study 
Group USA Higher Education LLC and its agents and agree to indemnify them with regard to any financial obligations or liabilities that the applicant may personally incur or any damage or injury to the person or property of others that the applicant may cause while participating in this program. We understand that the program begins with the outbound flight to the United States and terminates when the return flight lands. We realize that any airline’s liability for loss or damage to baggage or property, or for death or injury, is limited by the terms outlined by the airlines.

We also understand that it is our responsibility to obtain a passport and any required visa.

We understand that Study Group USA Higher Education LLC is not responsible for any loss or injury suffered by the applicant at any time while participating in the program, including but not limited to losses or injury suffered during periods of independent travel or absence from the program. If the applicant becomes ill or incapacitated, Study Group USA Higher Education LLC or its agents may take such action as it considers necessary, including securing medical treatment and transporting the applicant home at his/her own expense. We release Study Group USA Higher Education LLC from all liability related to such actions.

We understand that the applicant’s participation in the program may be terminated at the discretion of Study Group USA Higher Education LLC without any refund of fees and that the applicant may be sent home at his/her expense if he/she does not adhere to the U.S., State, and local laws and college/ university rules. We agree to accept full responsibility for personal expenses, books, any required additional language training and round trip air fare. 
In the event that Study Group USA Higher Education LLC or its agents advances or loans any funds to the applicant or incurs special expenses on his/her behalf, we agree to make immediate repayment to Study Group USA Higher Education LLC. We understand that this Agreement cannot be modified except in writing signed by Study Group USA Higher Education LLC.

Applying for a visa

Once a student has been accepted, s/he will be provided with an I-20 from the United States Citizenship and 
Immigration Services (USCIS), issued by the participating college or university. This form will be sent upon receipt of deposit. An I-20 is required to start the process of obtaining a student visa to enter the United States. You will also be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in your country. We advise you to have a letter from your parents/guardian, financial sponsor or other source of support stating their responsibility for your expenses throughout. A bank statement or letter verifying their financial ability to cover your expenses should also be provided. The bank statement cannot be a copy; it must be original (per immigration law). The bank statement must be notarized and no older than six months. Also, in addition to the bank statement, we require an affidavit of support, which is an original letter from the student’s sponsor (such as parent or guardian), claiming financial responsibility for the student. This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of government sponsored students, the Financial Guarantee serves as both the bank statement and the affidavit. We recommend that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC directly once your visa status is known. Please notify your academic enrolment advisor when you have made an appointment, and notify your counselor with the outcome of that appointment.

The obligation to pay the annual tuition and fees for the entire academic year is unconditional. no portion of such fees so paid or outstanding will be refunded or cancelled notwithstanding the subsequent absence, suspension, expulsion, dismissal or withdrawal of the student for any reason. Admission is subject to eligibility and availability. Early application and payment is advised.

Fee Payment Procedure

All undergraduate students are required to pay the first two terms in advance. Graduate students are required to pay for the first term in advance. For students who begin studies in the fall semester, the payment is due on July 25th and the second payment is due on December 15th.

 

Cancellation policy

Cancellation policy varies. Students who terminate any program of study after arrival on campus will be subject to forfeiture of tuition fees for the academic year.

Withdrawal/variation of degree programs

If, after a Study Group USA Higher Education LLC applicant has indicated an intention to progress onto a particular degree program, but prior to the student completing the Study Group USA Higher Education LLC program, the University discontinues the nominated degree program, the student may either: (1) withdraw without liability for fees other than the fee liability for the Study Group USA Higher Education LLC program, or (2) transfer to such other program (if any) as may be offered by the or University for which the student is qualified. If in these circumstances the student wishes to withdraw from the University and to enroll in a course at a different institution, the University shall use its reasonable endeavors to assist the student.

Once the student has commenced the first semester of their University program, if: (a) the University's ability to deliver programs or other services in accordance with the descriptions provided is compromised by circumstances beyond the control of the University (e.g. third party industrial action), the University will use all reasonable endeavors to minimize disruption as far as it is practical to do so; (b) the Program is cancelled or substantially varied from that described in the prospectus for reasons other than circumstances beyond the institution's reasonable control, the University will use reasonable endeavors to provide a suitable replacement program, but cannot guarantee to do so. If the student does not wish to accept the replacement program, the student shall be entitled to withdraw from the program. In the event of such withdrawal the University shall make an appropriate refund of tuition fees. Depending on the point at which the withdrawal takes place, the University reserves the right to retain fees or charges to cover the tuition or services which the student has actually received.

 

Publicity

Please notify your agency when you have made an appointment, and notify your counselor with the outcome of that appointment.

We also understand that it is our responsibility to obtain a passport and any required visa.

We understand that Study Group USA Higher Education LLC is not responsible for any loss or injury suffered by the applicant at any time while participating in the program, including but not limited to losses or injury suffered during periods of independent travel or absence from the program. If the applicant becomes ill or incapacitated, Study Group USA Higher Education LLC or its agents may take such action as it considers necessary, including securing medical treatment and transporting the applicant home at his/her own expense. We release Study Group USA Higher Education LLC from all liability related to such actions. We understand that the applicant's participation in the program may be terminated at the discretion of Study Group USA Higher Education LLC without any refund of fees and that the applicant may be sent home at his/her expense if he/she does not adhere to the U.S., State, and local laws and University rules.

We agree to accept full responsibility for personal expenses, books, any required additional language training and round trip air fare. In the event that Study Group USA Higher Education LLC or its agents advances or loans any funds to the applicant or incurs special expenses on his/her behalf, we agree to make immediate repayment to Study Group USA Placement LLC. We understand that this Agreement cannot be modified except in writing signed by Study Group USA Higher Education LLC.

These Terms and Conditions should be read carefully and understood before submitting your application. By signing the application, these Terms and Conditions represent contractual obligations with Study Group USA Higher Education LLC ("Study Group USA").

Participant responsibility

The price for the Study Group USA Higher Education LLC invoiced program does not encompass additional ancillary expenses, including but not limited to:

  1. Personal spending money.
  2. Insurance for pre-existing medical conditions, i.e., ailments which exist prior to arrival in the U.S.
  3. Meal and housing costs during the few times the university is officially closed – usually limited to the Thanksgiving holiday in late November, the Christmas holiday (which normally lasts about four weeks) and Spring vacation (approximately 10 days).
  4. University textbooks and other necessary school supplies.
  5. Air fare to and from U.S. domestic airport closest to the university campus in the United States (a round trip ticket is required).
  6. Extra costs for ESL which may be required by a student whose English language proficiency is inadequate.

Rules

All participants in the Study Group USA Higher Education LLC program are subject to the rules of the university in which they are enrolled. Students must assume full responsibility for compliance. Students must adhere to all housing regulations of the university, to include payment, withdrawal, and cancellation. Rules governing alcohol, tobacco, controlled drugs and other serious offenses will be strictly enforced. Applicants are reminded that international students in the United States must comply with both the letter and the spirit of the law in order to retain valid student visas. Violations of such laws will render the participant liable for immediate dismissal from the program and repatriation to the home country, if not legal prosecution for violation of the laws of the state or federal jurisdictions involved. No refund of fees will be made in the event of dismissal or withdrawal. Students seeking transfer between the date of initial arrival in the United States and the first day of classes may have their I-20 cancelled by the institution to which they were accepted, and no refunds will be granted. Admission is subject to eligibility and availability. Early application and payment is advised.

Payment Policy:

Students are required to pay a deposit directly to Study Group USA Higher Education LLC before they receive an I-20 form from the partner institution. Deposit amounts vary. Payment for the Fall semester is due July 25. Payment for the Spring semester is due December 15. Payment for the Summer semester is due April 10. All students are required to pay the invoiced amount in full and in advance of the semester start date. Students accepted by an institution after the billing due date are required to pay their deposit immediately upon receipt of the student visa, and are required to pay their bill in full prior to their departure for the United States, or within thirty days of deposit, whichever comes first.. Students with outstanding balances will be immediately placed on hold by the host institution, and may be barred from attending classes until payment is made in full.

Payments

Payment can be made to the International Study Center using a number of payment options via our PayOnline platform. Access to this platform can be found at: http://isc.merrimack.edu/pay

Certain payment options will carry a processing fee of 2.5%. We reserve the right to alter this charge from time to time.

If you choose to pay in your local currency a foreign exchange rate will apply. The applicable exchange rate can be viewed online as at the time and date of the payment. Bank charges and commission for both the sending and receiving banks should be paid by the sender of funds or they will be applied to the student's account.

Study Group Higher Education North America Refund Policy and Guidelines for Students

General Refund Policy

All refunds will be sent to the account of the individual from whom Study Group has received the original direct payment, either the student or the Study Group representative to whom the fees were originally paid and in the form of payment originally received (if possible)

Cancellation

  1. Rejection of Applicant: If an applicant is rejected for admissions by Study Group or its partners, or if a prospective international student has his/her visa application rejected, a full refund of all tuition or deposit monies paid will be made to the applicant.
  2. Program Cancellation: If Study Group or a partner institution cancels a course subsequent to a student’s start date, Study Group will refund all monies paid by the student.
  3. Cancellation Prior to the Start of Class or No Show: Except under the circumstance identified below in # 4, if an applicant accepted by Study Group cancels prior to the start of scheduled classes or never attends class (no show), Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrollment agreement as being non-refundable.
  4. Cancellation Prior to the Start of Class or No Show: If an applicant accepted by Study Group enters the United States on an I-20 issued by Study Group’s partner and subsequently cancels prior to the start of scheduled classes or never attends class (no show), Study Group may retain:
    • For a program of less than 12 weeks (typically the summer session), all the tuition charges for up to four weeks of the first term/session, actual housing costs incurred by the Study Group, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.
    • For a program of 12 weeks or more, all the tuition charges for up to six weeks of the first term/session, any actual housing costs incurred by Study Group and, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.

Non-refundable charges

The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Cancellation may occur when the student provides a written notice of cancellation by email, mail, hand delivery, or verbal notification to the Study Group's Admissions Center.

The written notice of cancellation is effective when date stamped by email, deposited in the mail properly addressed with proper postage, or date received by Study Group.

The written notice of cancellation need not take any particular form and, however expressed, it is effective if it shows that the student no longer wishes to be bound by the Enrollment Agreement.

If the Enrollment Agreement is cancelled, Study Group will refund the student any money he/she paid that is due to be returned within 45 days after the notice of cancellation is effective or the first day of scheduled class, whichever is earlier.

Withdrawal/Termination

For the purpose of determining a refund under this section, a student shall be deemed to have withdrawn (date of determination) from the course of instruction when any of the following occurs:

  • The student notifies Study Group of his/her withdrawal by providing in writing the intent to withdrawal to the Center Director of the International Study Center.
  • Study Group terminates the student's enrollment for failure to maintain satisfactory progress; failure to abide by the rules and regulations of Study Group or its partner; absences in excess of maximum set forth by Study Group or its partner; and/or failure to meet financial obligations to Study Group or its partner.
  • Failure to return from a leave of absence.

The amount owed to Study Group equals:

Semester: For students who withdraw at any point in the first four weeks, Study Group may retain the charges applicable to the first four weeks. For students who withdraw after the first four weeks but before or at the mid-point of the semester, Study Group may retain a prorated amount of tuition. For students who withdraw after the midpoint, Study Group may retain all of the charges for that semester.

Prorated refunds will be calculated on a weekly basis. When determining the number of weeks, Study Group will consider a partial week the same as if a whole week were completed, provided the student was present at least one day during the scheduled week.

Subsequent Semesters: For students who withdraw after completing the first semester but before or at the midpoint of any subsequent semester, Study Group may retain a prorated amount of tuition up to the midpoint. For students who withdraw after the midpoint of any subsequent semester, Study Group may retain all of the tuition for that semester.

Study Group is not obligated to make refunds to students who are terminated due to violation of Study Group's written disciplinary and/or attendance policies or local, state, or federal law or those of its partners.

For payments beyond the current semester: For students who withdraw or are withdrawn prior to the next semester, all charges collected for the next semester will be refunded.

Charges Other Than Tuition: All extra costs, such as university fees, laboratory fees, rentals and any similar charges are not included in the tuition price and are non-refundable. These fees include university fees, lab fees and activity fees. These fees and their relevant charges are itemized on student invoices and statements.

Students are bound by the terms as defined in any student housing agreements.

Non-refundable charges. The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Payments: Any amount of the refund in excess of the unpaid balance shall be paid within 45 days of the date of determination. If any portion of the tuition was paid from the proceeds of a third party, the refund shall be sent to the third party.

Academic Scholarships:

Study Group Higher Education North America offers scholarships to recognize strong academic achievement.

  1. Scholarships are offered during specified dates and students will be notified when applications are available to apply
  2. Scholarships are available for undergraduate applicants that meet specified academic entry criteria as determined by Study Group
  3. Scholarships may only be applied to the final 2 semesters of the International Year 1 or Global Gateway Program
  4. If a student is awarded a scholarship, they will be notified in writing within 30 days.
  5. If a student is awarded a scholarship and subsequently cancels or defers their program, the scholarship is forfeited. Any remaining funds for the scholarship are also cancelled.
  6. Government sponsored students are not eligible for scholarships

Study plan changes

  1. Upon arrival, students will be given a placement examination to assess their English language level. Many institutions also require an assessment in Math. As a result, the length of study may be longer than originally anticipated, incurring extra costs for which the student will be responsible.
  2. Students are required to complete their study plan by remaining on campus for consecutive Fall, Spring and Summer semesters.

Progression

Progression at the end of any given semester is dependent on successfully passing all courses in that semester and necessary progression requirements. Partner institutions may have additional requirements for progression. These additional requirements will be reviewed during orientation. On successful completion of the program/course and having achieved the progression requirements the student will be entitled to proceed directly to your degree program at the respective institution.

Undergraduate students are conditionally accepted to a university, not necessarily into a particular program of study. The university reserves the right to impose additional academic requirements post arrival (such as minimum grade point average) before a student is formally admitted into a particular program of study.

Insurance

All students are required to be properly insured. StudyCare or university-based insurance will be automatically added to your booking, unless proof of comparable insurance is provided upon application. Please note that StudyCare includes services beyond typical health insurance policies in the United States, e.g. cancellation, emergency repatriation, personal liability etc.

US-based health insurance is mandatory for all students. Insurance policies based in countries outside of the United States will not be accepted as reasonable substitutes. While Study Group provides StudyCare Insurance, some Institutions will require students to have a student health insurance policy directly from the institution instead. Insurance coverage begins upon arrival and insurance cards are issued post arrival on campus.

Damage and Liability

Any reference in these terms to liability of students shall also infer liability on the parent or financial sponsor, and such liability is joint and several. Students are responsible for payment for any damage caused by them to Study Group USA Higher Education LLC/institution property, including fixtures and fittings in university-approved accommodation. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings and the university reserves the right to recover costs for damage or exceptional cleaning.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (agents, publications, etc.) at our discretion as long as the images are used to publicize Study Group programs.

Data protection

Any information provided to Study Group USA Higher Education LLC may be held on computer and shall be used in accordance with US law, including FERPA, HIPAA, and ADA. Study Group USA Higher Education LLC is an Equal Opportunities provider. Information provided to Study Group USA Higher Education LLC is held and processed for the purpose of administering your application, and may be carried forward to your official student record, which holds data in electronic and paper form on your personal details, academic and administrative history and on relevant financial transactions. After you leave, the parts of your student record which the college or university needs to retain will be archived. Some information will also be processed for the purpose of managing our relationship with you as an alumnus. Other information will be destroyed. Throughout, your personal data will be held in accordance with current US data protection law.

Variation

No variation to these conditions is valid unless agreed in writing by the Center Director and approved by the Managing Director, North America provided always that the Study Group USA Higher Education LLC reserves the right to make any addition, amendment or alteration to these conditions upon giving one semester's written notice of such change to all affected students.

Communication

All students must supply Study Group USA Higher Education LLC with personal e-mail addresses and mobile/cell numbers prior to arrival, in order that communication, to include transmission of student reports, may be maintained at all times. Please also advise of any changes as they occur.

Agreement and release

I apply to enroll the person named as a student of Study Group USA Higher Education LLC. I agree to pay all fees incurred by the student as they become due, and either give the required notice of cancellation or to pay the required fees in lieu of notice. I agree to abide by the terms and conditions of Study Group USA Higher Education LLC.

I give permission for the administration of first aid and appropriate non-prescription medication to my child, and give permission to Study Group USA Higher Education LLC and designated representatives to seek medical, dental or optical treatment when required. I am the parent or legal guardian named. We do hereby authorize Study Group USA Higher Education LLC and its assigned agents, and any designated program representative, as agents of the undersigned parents, to consent to any x-ray examinations, anesthetic, medical or surgical diagnosis or treatment, or hospital care which is deemed advisable by, and is rendered under, the general supervision of any licensed physician or surgeon, whether such treatment or diagnosis is rendered at the office of said physician or surgeon or at a hospital. It is understood that this authorization is not given in advance of any specific diagnosis, treatment or hospital care being required, but is given to provide authority and power on the part of aforesaid agents to give specific consent to any and all such diagnoses, treatments, or hospital care which the aforementioned physician or surgeon, in the exercise of her/his best judgment, may deem advisable.

Applying for a visa

Once a student has been accepted, s/he will be provided with an I-20 from the United States Citizenship and 
Immigration Services (USCIS), issued by the participating college or university. This form will be sent upon receipt of deposit. An I-20 is required to start the process of obtaining a student visa to enter the United States. You will also be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in your country. We advise you to have a letter from your parents/guardian, financial sponsor or other source of support stating their responsibility for your expenses throughout. A bank statement or letter verifying their financial ability to cover your expenses should also be provided. The bank statement cannot be a copy; it must be original (per immigration law). The bank statement must be notarized and no older than six months. Also, in addition to the bank statement, we require an affidavit of support, which is an original letter from the student’s sponsor (such as parent or guardian), claiming financial responsibility for the student. This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of government sponsored students, the Financial Guarantee serves as both the bank statement and the affidavit. We recommend that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC directly once your visa status is known. Please notify your academic enrolment advisor when you have made an appointment, and notify your counselor with the outcome of that appointment.

Study Group is not obligated to make refunds to students who are terminated due to violation of Study Group's written disciplinary and/or attendance policies or local, state, or federal law or those of its partners.

For payments beyond the current semester: For students who withdraw or are withdrawn prior to the next semester, all charges collected for the next semester will be refunded.

Charges Other Than Tuition: All extra costs, such as university fees, laboratory fees, rentals and any similar charges are not included in the tuition price and are non-refundable. These fees include university fees, lab fees and activity fees. These fees and their relevant charges are itemized on student invoices and statements.

Students are bound by the terms as defined in any student housing agreements.

Non-refundable charges. The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Payments: Any amount of the refund in excess of the unpaid balance shall be paid within 45 days of the date of determination. If any portion of the tuition was paid from the proceeds of a third party, the refund shall be sent to the third party.

Academic Scholarships:

Study Group Higher Education North America offers scholarships to recognize strong academic achievement.

  1. Scholarships are offered during specified dates and students will be notified when applications are available to apply
  2. Scholarships are available for undergraduate applicants that meet specified academic entry criteria as determined by Study Group
  3. Scholarships may only be applied to the final 2 semesters of the International Year 1 or Global Gateway Program
  4. If a student is awarded a scholarship, they will be notified in writing within 30 days.
  5. If a student is awarded a scholarship and subsequently cancels or defers their program, the scholarship is forfeited. Any remaining funds for the scholarship are also cancelled.
  6. Government sponsored students are not eligible for scholarships

Study plan changes

  1. Upon arrival, students will be given a placement examination to assess their English language level. Many institutions also require an assessment in Math. As a result, the length of study may be longer than originally anticipated, incurring extra costs for which the student will be responsible.
  2. Students are required to complete their study plan by remaining on campus for consecutive Fall, Spring and Summer semesters.

Progression

Progression at the end of any given semester is dependent on successfully passing all courses in that semester and necessary progression requirements. Partner institutions may have additional requirements for progression. These additional requirements will be reviewed during orientation. On successful completion of the program/course and having achieved the progression requirements the student will be entitled to proceed directly to your degree program at the respective institution.

Undergraduate students are conditionally accepted to a university, not necessarily into a particular program of study. The university reserves the right to impose additional academic requirements post arrival (such as minimum grade point average) before a student is formally admitted into a particular program of study.

Insurance

All students are required to be properly insured. StudyCare or university-based insurance will be automatically added to your booking, unless proof of comparable insurance is provided upon application. Please note that StudyCare includes services beyond typical health insurance policies in the United States, e.g. cancellation, emergency repatriation, personal liability etc.

US-based health insurance is mandatory for all students. Insurance policies based in countries outside of the United States will not be accepted as reasonable substitutes. While Study Group provides StudyCare Insurance, some Institutions will require students to have a student health insurance policy directly from the institution instead. Insurance coverage begins upon arrival and insurance cards are issued post arrival on campus.

Damage and Liability

Any reference in these terms to liability of students shall also infer liability on the parent or financial sponsor, and such liability is joint and several. Students are responsible for payment for any damage caused by them to Study Group USA Higher Education LLC/institution property, including fixtures and fittings in university-approved accommodation. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings and the university reserves the right to recover costs for damage or exceptional cleaning.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (agents, publications, etc.) at our discretion as long as the images are used to publicize Study Group programs.

Data protection

Any information provided to Study Group USA Higher Education LLC may be held on computer and shall be used in accordance with US law, including FERPA, HIPAA, and ADA. Study Group USA Higher Education LLC is an Equal Opportunities provider. Information provided to Study Group USA Higher Education LLC is held and processed for the purpose of administering your application, and may be carried forward to your official student record, which holds data in electronic and paper form on your personal details, academic and administrative history and on relevant financial transactions. After you leave, the parts of your student record which the college or university needs to retain will be archived. Some information will also be processed for the purpose of managing our relationship with you as an alumnus. Other information will be destroyed. Throughout, your personal data will be held in accordance with current US data protection law.

Variation

No variation to these conditions is valid unless agreed in writing by the Center Director and approved by the Managing Director, North America provided always that the Study Group USA Higher Education LLC reserves the right to make any addition, amendment or alteration to these conditions upon giving one semester's written notice of such change to all affected students.

Communication

All students must supply Study Group USA Higher Education LLC with personal e-mail addresses and mobile/cell numbers prior to arrival, in order that communication, to include transmission of student reports, may be maintained at all times. Please also advise of any changes as they occur.

Agreement and release

I apply to enroll the person named as a student of Study Group USA Higher Education LLC. I agree to pay all fees incurred by the student as they become due, and either give the required notice of cancellation or to pay the required fees in lieu of notice. I agree to abide by the terms and conditions of Study Group USA Higher Education LLC.

I give permission for the administration of first aid and appropriate non-prescription medication to my child, and give permission to Study Group USA Higher Education LLC and designated representatives to seek medical, dental or optical treatment when required. I am the parent or legal guardian named. We do hereby authorize Study Group USA Higher Education LLC and its assigned agents, and any designated program representative, as agents of the undersigned parents, to consent to any x-ray examinations, anesthetic, medical or surgical diagnosis or treatment, or hospital care which is deemed advisable by, and is rendered under, the general supervision of any licensed physician or surgeon, whether such treatment or diagnosis is rendered at the office of said physician or surgeon or at a hospital. It is understood that this authorization is not given in advance of any specific diagnosis, treatment or hospital care being required, but is given to provide authority and power on the part of aforesaid agents to give specific consent to any and all such diagnoses, treatments, or hospital care which the aforementioned physician or surgeon, in the exercise of her/his best judgment, may deem advisable.

 

We waive and release all claims against Study Group USA Higher Education LLC and its agents for any injury, loss, damage, accident, delay or expense resulting from the applicant’s participation in the program. We also release Study 
Group USA Higher Education LLC and its agents and agree to indemnify them with regard to any financial obligations or liabilities that the applicant may personally incur or any damage or injury to the person or property of others that the applicant may cause while participating in this program. We understand that the program begins with the outbound flight to the United States and terminates when the return flight lands. We realize that any airline’s liability for loss or damage to baggage or property, or for death or injury, is limited by the terms outlined by the airlines.

We also understand that it is our responsibility to obtain a passport and any required visa.

We understand that Study Group USA Higher Education LLC is not responsible for any loss or injury suffered by the applicant at any time while participating in the program, including but not limited to losses or injury suffered during periods of independent travel or absence from the program. If the applicant becomes ill or incapacitated, Study Group USA Higher Education LLC or its agents may take such action as it considers necessary, including securing medical treatment and transporting the applicant home at his/her own expense. We release Study Group USA Higher Education LLC from all liability related to such actions.

We understand that the applicant’s participation in the program may be terminated at the discretion of Study Group USA Higher Education LLC without any refund of fees and that the applicant may be sent home at his/her expense if he/she does not adhere to the U.S., State, and local laws and college/ university rules. We agree to accept full responsibility for personal expenses, books, any required additional language training and round trip air fare. 
In the event that Study Group USA Higher Education LLC or its agents advances or loans any funds to the applicant or incurs special expenses on his/her behalf, we agree to make immediate repayment to Study Group USA Higher Education LLC. We understand that this Agreement cannot be modified except in writing signed by Study Group USA Higher Education LLC.

Applying for a visa

Once a student has been accepted, s/he will be provided with an I-20 from the United States Citizenship and 
Immigration Services (USCIS), issued by the participating college or university. This form will be sent upon receipt of deposit. An I-20 is required to start the process of obtaining a student visa to enter the United States. You will also be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in your country. We advise you to have a letter from your parents/guardian, financial sponsor or other source of support stating their responsibility for your expenses throughout. A bank statement or letter verifying their financial ability to cover your expenses should also be provided. The bank statement cannot be a copy; it must be original (per immigration law). The bank statement must be notarized and no older than six months. Also, in addition to the bank statement, we require an affidavit of support, which is an original letter from the student’s sponsor (such as parent or guardian), claiming financial responsibility for the student. This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of government sponsored students, the Financial Guarantee serves as both the bank statement and the affidavit. We recommend that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC directly once your visa status is known. Please notify your academic enrolment advisor when you have made an appointment, and notify your counselor with the outcome of that appointment.

These Terms and Conditions apply to international applicants to the Royal Roads University International Study Centre preparation programs for Undergraduate and Graduate degrees and for those seeking direct entry to Undergraduate and Graduate study.

Rules

All participants in the programs are subject to the rules of the university. Applicants are reminded that international students in Canada must comply with all laws in order to retain valid study permits. Should a student's study permit be revoked, they will be subject to dismissal from the program and may be required to return to their home country. In these circumstances, the student may also be subject to legal actions that may be commenced by the authorities.

Study plans

  1. Undergraduate students must enrol for a minimum of 2 consecutive semesters.
  2. Undergraduate students requiring English language preparation must enrol for their English program plus a minimum of two consecutive academic semesters.
  3. Graduate students who do not require English language preparation (as determined by Study Group), must enrol for their complete academic program.
  4. Graduate students requiring English language preparation must enroll for their English program plus their complete academic program.

Study plan changes

All students' English language and numeracy skills will be tested on arrival at Royal Roads University. Should it be determined that a student's English language and/or numeracy skills are below the level required for the student's program, the student's study period may be lengthened to allow for improvement to the student's English and/or numeracy skills. The student shall be responsible for any additional costs.

Progression

Students progress through the program upon successful completion of academic and attendance requirements. Program progression is semester by semester without breaks, unless authorized. For example, a student in a 3-semester program starting in fall would progress through the fall, spring and summer semesters before full progression into other programs the following fall.

Fees

Applicants may be required to pay a non-refundable Application Fee at the time of filing the application. In addition to tuition fees, additional cost items may include (but not be restricted to) one or more of the following:

  1. Personal spending money
  2. Insurance
  3. Meals and housing
  4. University textbooks and other necessary school supplies
  5. Travel costs including air fares and transfers
  6. University ancillary fees

Payment policy

Students are required to pay a deposit when accepting the offer from the University. A letter of acceptance will be issued upon receipt of the deposit. This letter is required when submitting a study permit/visa application.

Payment for the entire program is due in full (unless an optional payment plan has been agreed in writing) on:

  • July 25th for programs commencing in the fall semester
  • December 15th for programs commencing in the spring semester
  • April 10th for programs commencing in the summer semester

Any student with an overdue account of thirty (30) days or more shall be immediately terminated from the program.

Payments by credit card received after the due date will be subject to an additional fee of two percent (2%) of the total invoice value.

Bank details

Payment can be made to Study Group using a number of payment options via our PayOnline platform. Access to this platform can be found at http://isc.royalroads.ca/pay using your unique student access code.

Certain payment options will carry a processing fee of 2.5%. We reserve the right to alter this charge from time to time. If you choose to pay in your local currency a foreign exchange rate will apply. The applicable exchange rate can be viewed online as at the time and date of the payment. 

Bank charges and commission for both the sending and receiving banks should be paid by the sender of funds or they will be applied to the student’s account.

Payment Plan

Payment plans are only available for study plans (not including preparatory English) of 2 semesters or more. All preliminary semesters of preparatory English must be paid in full. Payments are due on July 25th for the fall semester, December 15th for the spring semester and April 10th for the summer semester.

Cancellation policy

Cancellation may occur when the student provides a written notice of cancellation by email, mail, hand delivery, or verbal notification to the Study Group’s Admissions Center. Should a student cancel his/her registration with written notice, all fees paid will be refunded less fees for the first full semester of study. Should a student cancel his/her registration with written notice after commencement of the semester then all fees paid will be refunded, less fees for the remainder of the semester and full fees for the following semester. A full refund will be issued if the student's application for a study permit/visa is denied. A copy of all study permit/visa denial documentation is required before a refund will be issued. Discretionary refunds may be made if a student is unable to participate in the confirmed study plan due to exceptional personal circumstances. A refund will only be considered following a written appeal. Refunds may also be issued in instances of withdrawal/variation of degree programs, as indicated below.

Applying for a visa/study permit

The student must contact the nearest applicable Canadian Embassy or Consulate for a Visa application. Documentation and/or requirements vary from country to country. To apply for a study permit/visa, students will need to supply Canadian Immigration with 'Proof of Student Status'. This letter will be sent upon acceptance to the Programs.

It is recommended that all students apply for their study permit/visa as soon as possible, and notify Study Group directly as soon as the study permit/visa status has been confirmed.

Insurance

All students are required to be properly insured. Study Care insurance will automatically be added to your booking, unless proof of comparable alternate insurance is provided (please attach a translated copy in English with your application).

Damage and liability

Students are responsible for payment for any damage caused by them to the facilities from which Study Group conducts any part of its program. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings, including costs for damage or exceptional cleaning. This responsibility is in addition to any obligation that the student may have as a result of any contract for accommodation with a third party.

Withdrawal/variation of degree programs

If a nominated degree program is discontinued prior to a student's completion of the program, the student of that program prior to completion may either: (1) withdraw without liability for any fees for program(s) not yet commenced, or (2) transfer to such other program (if any) as may be offered, for which the student is qualified. Once the student has commenced the first semester of the university program of their agreement except as specifically set forth herein. Choice, if: (a) the university's ability to deliver programs or other services in accordance with the descriptions provided is compromised by circumstances beyond the control of the university (e.g. third party industrial action), the university will use all reasonable endeavors to minimize disruption as far as it is practical to do so (b) the program is cancelled or substantially varied from that described in the prospectus for reasons other than circumstances beyond the institution's reasonable control, the university will use reasonable endeavors to provide a suitable replacement program. if the student does not wish to accept the replacement program, the student shall be entitled to withdraw from the program.

Data Protection

Any information provided by the student shall only be used in accordance with privacy legislation law. Publicity of students (and their parents or guardians, where applicable) agree that their images, and achievements may be used by Study Group and/or the university, for promotional purposes only, without prior written consent or notification. This will include the passing on of images, sound and achievements to appropriate third parties (for example, agents and publications) for the specific purpose of publicizing the programs.

Variation Study Group reserves the right to make any addition, amendment or alteration to these terms and conditions upon giving one semester's written notice of such change to the students.

Scope of agreement

Submission of an application confirms agreement to abide by these stated terms and conditions, those stated within the application form and in any other documentation, issued by Study Group, the university or a housing or insurance provider. These terms and conditions supersede any prior and contemporaneous agreements, understandings, negotiations and discussions, whether oral or written, between the parties pertaining to the subject matter hereof. There are no warranties, representations or other agreements between the parties in connection with the subject-matter of this agreement except as specifically set forth herein.

Declaration

I have applied for a program of study in Canada. I confirm the following:

  1. I understand the relationship between study group and the agency that has submitted this application. I have given this agency permission to represent me in all matters related to my application and enrolment into the university to which I have applied.
  2. I understand that upon submitting the complete application and supporting materials, I may be required to pay a non-refundable application fee if applicable.
  3. Prior to the release of the study permit application letter, I understand that I may be required to pay a confirmation deposit. I understand that this deposit is required in order to secure a place at the university, and is fully refundable only in the case of a visa denial. I further understand that by paying the deposit, I am acknowledging and agreeing to all terms and conditions not only of study group but of the university.
  4. Once the visa has been successfully obtained, I understand that I am required to pay the full tuition, room, board and fees, per the study group invoice, one month prior to arrival.
  5. I understand that if full payment according to the invoice has not been received, I may not be able to attend classes until payment arrangements have been confirmed.
  6. I understand that once I have confirmed my acceptance and have obtained a study permit, I will not be entitled to a refund of the application fee, confirmation deposit or paid tuition, room, board and fees, etc. associated with my academic program.
  7. I agree to abide by the terms and conditions of Study Group.

Royal Roads University gathers and maintains information used for the purposes of admissions, registration, and other fundamental activities related to being a member of the university community, and to enrolling learners in a public post-secondary institution in the province of British Columbia pursuant to the university act, (RSBC 1996), the Royal Roads University act (RSBC 1996), and section 26 of the freedom and information and protection of privacy act (RSBC 1996). I hereby declare that all information I have submitted in this application for admission is true and complete, that all personal documents submitted have been authored by me, and that no information has been withheld to the best of my knowledge.

I understand that any omission or misrepresentation of information, including submission of false statements and/or documents, or failure to disclose attendance at another post-secondary institution at the time of submission or anytime thereafter, may result in the immediate and permanent cancellation of my admission or registration to Royal Roads University without reimbursement.

I understand that completion of this authorized application permits Royal Roads University to request and/or confirm any information necessary to support my application for admission.

I understand that information on falsifications may be shared with the association of registrars of universities and colleges of Canada.

Participant responsibility

The price for the Study Group USA Higher Education LLC invoiced program does not encompass additional ancillary expenses, including but not limited to:

  1. Personal spending money.
  2. Insurance for pre-existing medical conditions, i.e., ailments which exist prior to arrival in the U.S.
  3. Meal and housing costs during the few times the university is officially closed – usually limited to the Thanksgiving holiday in late November, the Christmas holiday (which normally lasts about four weeks) and Spring vacation (approximately 10 days).
  4. University textbooks and other necessary school supplies.
  5. Air fare to and from U.S. domestic airport closest to the university campus in the United States (a round trip ticket is required).
  6. Extra costs for ESL which may be required by a student whose English language proficiency is inadequate.

Rules

All participants in the Study Group USA Higher Education LLC program are subject to the rules of the university in which they are enrolled. Students must assume full responsibility for compliance. Students must adhere to all housing regulations of the university, to include payment, withdrawal, and cancellation. Rules governing alcohol, tobacco, controlled drugs and other serious offenses will be strictly enforced. Applicants are reminded that international students in the United States must comply with both the letter and the spirit of the law in order to retain valid student visas. Violations of such laws will render the participant liable for immediate dismissal from the program and repatriation to the home country, if not legal prosecution for violation of the laws of the state or federal jurisdictions involved. No refund of fees will be made in the event of dismissal or withdrawal. Students seeking transfer between the date of initial arrival in the United States and the first day of classes may have their I-20 cancelled by the institution to which they were accepted, and no refunds will be granted. Admission is subject to eligibility and availability. Early application and payment is advised.

Payment Policy:

Students are required to pay a deposit directly to Study Group USA Higher Education LLC before they receive an I-20 form from the partner institution. Deposit amounts vary. Payment for the Fall semester is due July 25. Payment for the Spring semester is due December 15. Payment for the Summer semester is due April 10. All students are required to pay the invoiced amount in full and in advance of the semester start date. Students accepted by an institution after the billing due date are required to pay their deposit immediately upon receipt of the student visa, and are required to pay their bill in full prior to their departure for the United States, or within thirty days of deposit, whichever comes first.. Students with outstanding balances will be immediately placed on hold by the host institution, and may be barred from attending classes until payment is made in full.

Study Group Higher Education North America Refund Policy and Guidelines for Students

General Refund Policy

All refunds will be sent to the account of the individual from whom Study Group has received the original direct payment, either the student or the Study Group representative to whom the fees were originally paid and in the form of payment originally received (if possible)

Cancellation

  1. Rejection of Applicant: If an applicant is rejected for admissions by Study Group or its partners, or if a prospective international student has his/her visa application rejected, a full refund of all tuition or deposit monies paid will be made to the applicant.
  2. Program Cancellation: If Study Group or a partner institution cancels a course subsequent to a student’s start date, Study Group will refund all monies paid by the student.
  3. Cancellation Prior to the Start of Class or No Show: Except under the circumstance identified below in # 4, if an applicant accepted by Study Group cancels prior to the start of scheduled classes or never attends class (no show), Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrollment agreement as being non-refundable.
  4. Cancellation Prior to the Start of Class or No Show: If an applicant accepted by Study Group enters the United States on an I-20 issued by Study Group’s partner and subsequently cancels prior to the start of scheduled classes or never attends class (no show), Study Group may retain:
    • For a program of less than 12 weeks (typically the summer session), all the tuition charges for up to four weeks of the first term/session, actual housing costs incurred by the Study Group, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.
    • For a program of 12 weeks or more, all the tuition charges for up to six weeks of the first term/session, any actual housing costs incurred by Study Group and, Study Group will refund all monies paid, less any actual housing costs incurred by Study Group and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.

The written notice of cancellation is effective when date stamped by email, deposited in the mail properly addressed with proper postage, or date received by Study Group.

The written notice of cancellation need not take any particular form and, however expressed, it is effective if it shows that the student no longer wishes to be bound by the Enrollment Agreement.

If the Enrollment Agreement is cancelled, Study Group will refund the student any money he/she paid that is due to be returned within 45 days after the notice of cancellation is effective or the first day of scheduled class, whichever is earlier.

Withdrawal/Termination

For the purpose of determining a refund under this section, a student shall be deemed to have withdrawn (date of determination) from the course of instruction when any of the following occurs:

  • The student notifies Study Group of his/her withdrawal by providing in writing the intent to withdrawal to the Center Director of the International Study Center.
  • Study Group terminates the student's enrollment for failure to maintain satisfactory progress; failure to abide by the rules and regulations of Study Group or its partner; absences in excess of maximum set forth by Study Group or its partner; and/or failure to meet financial obligations to Study Group or its partner.
  • Failure to return from a leave of absence.

The amount owed to Study Group equals:

Semester: For students who withdraw at any point in the first four weeks, Study Group may retain the charges applicable to the first four weeks. For students who withdraw after the first four weeks but before or at the mid-point of the semester, Study Group may retain a prorated amount of tuition. For students who withdraw after the midpoint, Study Group may retain all of the charges for that semester.

Prorated refunds will be calculated on a weekly basis. When determining the number of weeks, Study Group will consider a partial week the same as if a whole week were completed, provided the student was present at least one day during the scheduled week.

Subsequent Semesters: For students who withdraw after completing the first semester but before or at the midpoint of any subsequent semester, Study Group may retain a prorated amount of tuition up to the midpoint. For students who withdraw after the midpoint of any subsequent semester, Study Group may retain all of the tuition for that semester.

Study Group is not obligated to make refunds to students who are terminated due to violation of Study Group's written disciplinary and/or attendance policies or local, state, or federal law or those of its partners.

For payments beyond the current semester: For students who withdraw or are withdrawn prior to the next semester, all charges collected for the next semester will be refunded.

Charges Other Than Tuition: All extra costs, such as university fees, laboratory fees, rentals and any similar charges are not included in the tuition price and are non-refundable. These fees include university fees, lab fees and activity fees. These fees and their relevant charges are itemized on student invoices and statements.

Students are bound by the terms as defined in any student housing agreements.

Payments: Any amount of the refund in excess of the unpaid balance shall be paid within 45 days of the date of determination. If any portion of the tuition was paid from the proceeds of a third party, the refund shall be sent to the third party.

Academic Scholarships:

Study Group Higher Education North America offers scholarships to recognize strong academic achievement.

  1. Scholarships are offered during specified dates and students will be notified when applications are available to apply
  2. Scholarships are available for undergraduate applicants that meet specified academic entry criteria as determined by Study Group
  3. Scholarships may only be applied to the final 2 semesters of the International Year 1 or Global Gateway Program
  4. If a student is awarded a scholarship, they will be notified in writing within 30 days.
  5. If a student is awarded a scholarship and subsequently cancels or defers their program, the scholarship is forfeited. Any remaining funds for the scholarship are also cancelled.
  6. Government sponsored students are not eligible for scholarships

Study plan changes

  1. Upon arrival, students will be given a placement examination to assess their English language level. Many institutions also require an assessment in Math. As a result, the length of study may be longer than originally anticipated, incurring extra costs for which the student will be responsible.
  2. Students are required to complete their study plan by remaining on campus for consecutive Fall, Spring and Summer semesters.

Progression

Progression at the end of any given semester is dependent on successfully passing all courses in that semester and necessary progression requirements. Partner institutions may have additional requirements for progression. These additional requirements will be reviewed during orientation. On successful completion of the program/course and having achieved the progression requirements the student will be entitled to proceed directly to your degree program at the respective institution.

Undergraduate students are conditionally accepted to a university, not necessarily into a particular program of study. The university reserves the right to impose additional academic requirements post arrival (such as minimum grade point average) before a student is formally admitted into a particular program of study.

Insurance

All students are required to be properly insured. StudyCare or university-based insurance will be automatically added to your booking, unless proof of comparable insurance is provided upon application. Please note that StudyCare includes services beyond typical health insurance policies in the United States, e.g. cancellation, emergency repatriation, personal liability etc.

US-based health insurance is mandatory for all students. Insurance policies based in countries outside of the United States will not be accepted as reasonable substitutes. While Study Group provides StudyCare Insurance, some Institutions will require students to have a student health insurance policy directly from the institution instead. Insurance coverage begins upon arrival and insurance cards are issued post arrival on campus.

Damage and Liability

Any reference in these terms to liability of students shall also infer liability on the parent or financial sponsor, and such liability is joint and several. Students are responsible for payment for any damage caused by them to Study Group USA Higher Education LLC/institution property, including fixtures and fittings in university-approved accommodation. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings and the university reserves the right to recover costs for damage or exceptional cleaning.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (agents, publications, etc.) at our discretion as long as the images are used to publicize Study Group programs.

Data protection

Any information provided to Study Group USA Higher Education LLC may be held on computer and shall be used in accordance with US law, including FERPA, HIPAA, and ADA. Study Group USA Higher Education LLC is an Equal Opportunities provider. Information provided to Study Group USA Higher Education LLC is held and processed for the purpose of administering your application, and may be carried forward to your official student record, which holds data in electronic and paper form on your personal details, academic and administrative history and on relevant financial transactions. After you leave, the parts of your student record which the college or university needs to retain will be archived. Some information will also be processed for the purpose of managing our relationship with you as an alumnus. Other information will be destroyed. Throughout, your personal data will be held in accordance with current US data protection law.

Variation

No variation to these conditions is valid unless agreed in writing by the Center Director and approved by the Managing Director, North America provided always that the Study Group USA Higher Education LLC reserves the right to make any addition, amendment or alteration to these conditions upon giving one semester's written notice of such change to all affected students.

Communication

All students must supply Study Group USA Higher Education LLC with personal e-mail addresses and mobile/cell numbers prior to arrival, in order that communication, to include transmission of student reports, may be maintained at all times. Please also advise of any changes as they occur.

Agreement and release

I apply to enroll the person named as a student of Study Group USA Higher Education LLC. I agree to pay all fees incurred by the student as they become due, and either give the required notice of cancellation or to pay the required fees in lieu of notice. I agree to abide by the terms and conditions of Study Group USA Higher Education LLC.

I give permission for the administration of first aid and appropriate non-prescription medication to my child, and give permission to Study Group USA Higher Education LLC and designated representatives to seek medical, dental or optical treatment when required. I am the parent or legal guardian named. We do hereby authorize Study Group USA Higher Education LLC and its assigned agents, and any designated program representative, as agents of the undersigned parents, to consent to any x-ray examinations, anesthetic, medical or surgical diagnosis or treatment, or hospital care which is deemed advisable by, and is rendered under, the general supervision of any licensed physician or surgeon, whether such treatment or diagnosis is rendered at the office of said physician or surgeon or at a hospital. It is understood that this authorization is not given in advance of any specific diagnosis, treatment or hospital care being required, but is given to provide authority and power on the part of aforesaid agents to give specific consent to any and all such diagnoses, treatments, or hospital care which the aforementioned physician or surgeon, in the exercise of her/his best judgment, may deem advisable.

 We waive and release all claims against Study Group USA Higher Education LLC and its agents for any injury, loss, damage, accident, delay or expense resulting from the applicant’s participation in the program. We also release Study 

Group USA Higher Education LLC and its agents and agree to indemnify them with regard to any financial obligations or liabilities that the applicant may personally incur or any damage or injury to the person or property of others that the applicant may cause while participating in this program. We understand that the program begins with the outbound flight to the United States and terminates when the return flight lands. We realize that any airline’s liability for loss or damage to baggage or property, or for death or injury, is limited by the terms outlined by the airlines.

We also understand that it is our responsibility to obtain a passport and any required visa.

We understand that Study Group USA Higher Education LLC is not responsible for any loss or injury suffered by the applicant at any time while participating in the program, including but not limited to losses or injury suffered during periods of independent travel or absence from the program. If the applicant becomes ill or incapacitated, Study Group USA Higher Education LLC or its agents may take such action as it considers necessary, including securing medical treatment and transporting the applicant home at his/her own expense. We release Study Group USA Higher Education LLC from all liability related to such actions.

We understand that the applicant’s participation in the program may be terminated at the discretion of Study Group USA Higher Education LLC without any refund of fees and that the applicant may be sent home at his/her expense if he/she does not adhere to the U.S., State, and local laws and college/ university rules. We agree to accept full responsibility for personal expenses, books, any required additional language training and round trip air fare. 
In the event that Study Group USA Higher Education LLC or its agents advances or loans any funds to the applicant or incurs special expenses on his/her behalf, we agree to make immediate repayment to Study Group USA Higher Education LLC. We understand that this Agreement cannot be modified except in writing signed by Study Group USA Higher Education LLC.

Applying for a visa

Once a student has been accepted, s/he will be provided with an I-20 from the United States Citizenship and 
Immigration Services (USCIS), issued by the participating college or university. This form will be sent upon receipt of deposit. An I-20 is required to start the process of obtaining a student visa to enter the United States. You will also be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in your country. We advise you to have a letter from your parents/guardian, financial sponsor or other source of support stating their responsibility for your expenses throughout. A bank statement or letter verifying their financial ability to cover your expenses should also be provided. The bank statement cannot be a copy; it must be original (per immigration law). The bank statement must be notarized and no older than six months. Also, in addition to the bank statement, we require an affidavit of support, which is an original letter from the student’s sponsor (such as parent or guardian), claiming financial responsibility for the student. This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of government sponsored students, the Financial Guarantee serves as both the bank statement and the affidavit. We recommend that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC directly once your visa status is known. Please notify your academic enrolment advisor when you have made an appointment, and notify your counselor with the outcome of that appointment.

By signing the application, these Terms and Conditions represent contractual obligations with Study Group Canada Limited ("Study Group Canada") or Study Group USA Higher Education LLC ("Study Group USA").

Applicant responsibility

The costs for the University of Vermont (UVM) Global Gateway program, invoiced by Study Group USA Higher Education LLC, encompass those listed on the University of Vermont International Study Center Estimated Price Guidelines and do not encompass additional ancillary expenses, including but not limited to:

  1. Personal spending money.
  2. Health insurance or health care coverage for pre-existing medical conditions, i.e., ailments which exist prior to arrival in the U.S. (This is dependent on the student health insurance plan).
  3. Meal costs associated with remaining in university housing when the university is closed:

  4. Housing and meal expenses above the expenses allowed for on-campus undergraduate housing.
  5. Field trips and excursions not included in the program costs.

University Policies

All participants in the UVM Global Gateway Program, administered by Study Group USA Higher Education LLC, are subject to the standards and policies of the University as outlined in the Code of Student Rights and Responsibilities (http://www.uvm.edu/policies/student/studentcode.pdf ). Students must assume full responsibility for compliance with those standards and all applicable policies of the University. Without limitation as to applicability of other University rules and policies, students must adhere to all housing regulations of the University (as outlined in the Housing and Meal Plan Contract Terms and Conditions), to include payment, withdrawal, and cancellation, and all terms and conditions of living in University housing. Rules governing alcohol, tobacco, controlled drugs and other serious offenses will be strictly enforced. Violation of the applicable rules and policies of the University may result in the imposition of discipline up to and including termination from the Program.

Applicants are reminded that international students in the United States must comply with both the letter and the spirit of state and federal law in order to retain valid student visas. Violations of such laws will render the participant liable for immediate dismissal from the program and repatriation to the home country, as well as possible legal prosecution for violation of the laws of the state or federal jurisdictions involved. No refund of fees will be made in the event of dismissal or withdrawal. Students seeking transfer between the date of initial arrival in the United States and the first day of classes may have their I-20 cancelled by the University of Vermont, and no refunds will be granted.

Admission is subject to a 
student's qualifications as well as availability. Early application and payment is advised to secure a place in the program.

Payment policy

Students are required to pay a deposit directly to Study Group USA Higher Education LLC for the UVM Global Gateway Program before they receive an I-20 from the University. Deposit amounts vary. Payment for the May Global Gateway intake is due by April 10. Payment for the August Global Gateway intake is due by July 25. All students are required to pay the entire invoiced amount in full and in advance of the Global Gateway Program start date.

Students with outstanding balances:

  • will not receive their pre-arrival information until full-payment is made
  • will be immediately placed on hold by the University, and
  • may be prevented from attending classes until payment is made.

Students with balances due after 30 days are subject to a $500 late payment fee.

Bank details

Payment can be made to the International Study Center using a number of payment options via our PayOnline platform. Access to this platform can be found at:

Certain payment options will carry a processing fee of 2.5%. We reserve the right to alter this charge from time to time.

If you choose to pay in your local currency a foreign exchange rate will apply. The applicable exchange rate can be viewed online as at the time and date of the payment. Bank charges and commission for both the sending and receiving banks should be paid by the sender of funds or they will be applied to the student's account.

Withdrawal Policies

Withdrawal following enrollment into the Global Gateway Program is subject to UVM policies.

Length of enrollment

  1. Students entering the Global Gateway Program must enroll for the entire program sequence and will be required to live in on-campus University housing for the duration of the Program
  2. Students who successfully complete the Global Gateway Program will matriculate as regular degree-seeking students at the University after meeting the matriculation requirements and will enroll for one semester at a time, following generally applicable University processes for undergraduate enrollment and will be required to live on campus for two successive academic terms following matriculation as a regular degree-seeking student.

Applying for a visa

  • Once a student has been accepted and paid a deposit, s/ he will be provided with an I-20 from the United States Citizenship and Immigration Services (USCIS), issued by the 
    University.
  • This I-20 is required to start the process of obtaining a student visa to enter the United States. Students will be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in the student's home country.

This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of Saudi Arabian Cultural Mission students, the Financial Guarantee serves as both the bank statement and the affidavit.
  • It is recommended that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC directly once the visa status is known. Students should notify their Study Group USA Higher Education LLC educational advisor when an appointment has been made with the appropriate consular office, and should notify the advisor with the outcome of that appointment.

Study plan changes

Upon arrival, students will be given a placement examination by the University to assess their English language level. The University may also require an assessment in Math. If the student does not test at the required level of proficiency, additional coursework will be required for the student to be fully prepared to participate in the Global Gateway Program at an acceptable level. As a result, the length of study may be longer than originally anticipated, incurring extra costs for additional coursework and related expenses for extended stay, for which the student will be responsible.

Progression

Progression to full matriculation at the University is dependent on successfully passing all courses and requirements of the Global Gateway Program. Additional progression requirements may be applicable to enter a particular program of study at the University. Specific program entry requirements are available at http://www.uvm.edu/academics/catalogue2013-14/. These requirements will be reviewed during the Global Gateway student orientation and reinforced through the semester.

Insurance

All students are required to be properly insured and must purchase student health insurance offered by the University or by a University approved health insurance provider.

Damage and liability

Students are also responsible for all other terms and conditions required by the University in the Housing and Meal Plan Contract Terms and Conditions (ex. http://reslife.uvm.edu/contract/reslife_ contract.pdf).

Withdrawal/variation of degree programs

If, after a Study Group USA Higher Education LLC participant has indicated an intention to progress into a particular degree program at the University, but prior to the student completing the Study Group USA Higher Education LLC/UVM Global Gateway Program, the University discontinues the specified degree program, the student may either: (1) withdraw without liability for fees other than fees for completion of the Study Group USA Higher Education LLC/UVM Global Gateway Program, or (2) apply for transfer to such other program (if any) as may be offered by the University for which the student is qualified. If in these circumstances the student wishes to withdraw from the University and to enroll in a course of study at a different institution, the University shall use its reasonable endeavors to assist the student.

Once the student has successfully completed the Global Gateway Program, has been accepted as a full-time degree student and has commenced the first semester of their program of study, if: (a) the University's ability to deliver programs or other services in accordance with the descriptions provided is compromised by circumstances beyond the control of the University (e.g. natural disaster, financial exigency, third party industrial action), the University will use all reasonable endeavors to minimize disruption as far as it is practical to do so; (b) the program of study is cancelled or substantially varied from that described in the University Catalog for reasons other than circumstances beyond the University's reasonable control, the University will provide advice on other programs for which the student may be interested and qualified and will use reasonable endeavors to assist a transfer to such a program, but cannot guarantee that transfer to another program will be possible. If the student does not wish to accept the replacement program, the student shall be entitled to withdraw from the University. In the event of such withdrawal the University shall refund tuition and fees if such would be available under the University's generally applicable tuition refund policy. Depending on the point at which the withdrawal takes place, the University reserves the right to retain fees or charges to cover the tuition, housing, or services which the student has actually received.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (recruitment partners, publications, etc) at our discretion as long as the images are used to publicize Study Group programs.

These Terms and Conditions should be read carefully and understood before submitting your application. By signing the application, these Terms and Conditions represent contractual obligations with Study Group USA Higher Education LLC dba International Study Center.

Participant responsibility

The price for the Study Group USA Higher Education LLC dba International Study Center invoiced program does not encompass additional ancillary expenses, including but not limited to:

  1. Personal spending money.
  2. Insurance for pre-existing medical conditions, i.e., ailments which exist prior to arrival in the U.S.
  3. Meal and housing costs during the few times the university is officially closed – usually limited to the Thanksgiving holiday in late November, the Christmas holiday (which normally lasts about four weeks) and Spring vacation (approximately 10 days).
  4. University textbooks and other necessary school supplies.
  5. Air fare to and from U.S. domestic airport closest to the university campus in the United States (a round trip ticket is required).
  6. Extra costs for ESL which may be required by a student whose English language proficiency is inadequate.

Rules

All participants in the Study Group USA Higher Education LLC dba International Study Center program are subject to the rules of the university in which they are enrolled. Students must assume full responsibility for compliance. Students must adhere to all housing regulations of the university, to include payment, withdrawal, and cancellation. Rules governing alcohol, tobacco, controlled drugs and other serious offenses will be strictly enforced. Applicants are reminded that international students in the United States must comply with both the letter and the spirit of the law in order to retain valid student visas. Violations of such laws will render the participant liable for immediate dismissal from the program and repatriation to the home country, if not legal prosecution for violation of the laws of the state or federal jurisdictions involved. No refund of fees will be made in the event of dismissal or withdrawal. Students seeking transfer between the date of initial arrival in the United States and the first day of classes may have their I-20 cancelled by the institution to which they were accepted, and no refunds will be granted. Admission is subject to eligibility and availability. Early application and payment is advised.

Payment Policy:

Students are required to pay a deposit directly to Study Group USA Higher Education LLC dba International Study Center before they receive an I-20 form from the partner institution. Deposit amounts vary. Payment for the Fall semester is due July 25. Payment for the Spring semester is due December 15. Payment for the Summer semester is due April 10. All students are required to pay the invoiced amount in full and in advance of the semester start date. Students accepted by an institution after the billing due date are required to pay their deposit immediately upon receipt of the student visa, and are required to pay their bill in full prior to their departure for the United States, or within thirty days of deposit, whichever comes first.. Students with outstanding balances will be immediately placed on hold by the host institution, and may be barred from attending classes until payment is made in full.

Payments

Payment can be made to the International Study Center using a number of payment options via our PayOnline platform. Access to this platform can be found at: http://www.widenerisc.com/pay

Certain payment options will carry a processing fee of 2.5%. We reserve the right to alter this charge from time to time.

If you choose to pay in your local currency a foreign exchange rate will apply. The applicable exchange rate can be viewed online as at the time and date of the payment. Bank charges and commission for both the sending and receiving banks should be paid by the sender of funds or they will be applied to the student's account.

Study Group USA Higher Education LLC dba International Study Center Refund Policy and Guidelines for Students

General Refund Policy

All refunds will be sent to the account of the individual from whom Study Group USA Higher Education LLC dba International Study Center has received the original direct payment, either the student or the Study Group USA Higher Education LLC dba International Study Center representative to whom the fees were originally paid and in the form of payment originally received (if possible)

Cancellation

  1. Rejection of Applicant: If an applicant is rejected for admissions by Study Group USA Higher Education LLC dba International Study Center or its partners, or if a prospective international student has his/her visa application rejected, a full refund of all tuition or deposit monies paid will be made to the applicant.
  2. Program Cancellation: If Study Group USA Higher Education LLC dba International Study Center or a partner institution cancels a course subsequent to a student’s start date, Study Group USA Higher Education LLC dba International Study Center will refund all monies paid by the student.
  3. Cancellation Prior to the Start of Class or No Show: Except under the circumstance identified below in # 4, if an applicant accepted by Study Group USA Higher Education LLC dba International Study Center cancels prior to the start of scheduled classes or never attends class (no show), Study Group USA Higher Education LLC dba International Study Center will refund all monies paid, less any actual housing costs incurred by the International Study Center and a maximum total of $500 identified non-refundable charges noted in the enrollment agreement as being non-refundable.
  4. Cancellation Prior to the Start of Class or No Show: If an applicant accepted by Study Group USA Higher Education LLC dba International Study Center enters the United States on an I-20 issued by Study Group USA Higher Education LLC dba International Study Center’s partner and subsequently cancels prior to the start of scheduled classes or never attends class (no show), Study Group USA Higher Education LLC dba International Study Center may retain:
  1. For a program of less than 12 weeks (typically the summer session), all the tuition charges for up to four weeks of the first term/session, actual housing costs incurred by Study Group USA Higher Education LLC dba International Study Center, the International Study Center will refund all monies paid, less any actual housing costs incurred by Study Group USA Higher Education LLC dba International Study Center and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.
  2. For a program of 12 weeks or more, all the tuition charges for up to six weeks of the first term/session, any actual housing costs incurred by Study Group USA Higher Education LLC dba International Study Center and, the International Study Center will refund all monies paid, less any actual housing costs incurred by Study Group USA Higher Education LLC dba International Study Center and a maximum total of $500 identified non-refundable charges noted in the enrolment agreement as being non-refundable.

Non-refundable charges

The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Cancellation may occur when the student provides a written notice of cancellation by email, mail, hand delivery, or verbal notification to the Study Group USA Higher Education LLC dba International Study Center Admissions Center.

The written notice of cancellation is effective when date stamped by email, deposited in the mail properly addressed with proper postage, or date received by Study Group USA Higher Education LLC dba International Study Center.

The written notice of cancellation need not take any particular form and, however expressed, it is effective if it shows that the student no longer wishes to be bound by the Enrollment Agreement.

If the Enrollment Agreement is cancelled, Study Group USA Higher Education LLC dba International Study Center will refund the student any money he/she paid that is due to be returned within 45 days after the notice of cancellation is effective or the first day of scheduled class, whichever is earlier.

Withdrawal/Termination

For the purpose of determining a refund under this section, a student shall be deemed to have withdrawn (date of determination) from the course of instruction when any of the following occurs:

  • The student notifies Study Group USA Higher Education LLC dba International Study Center of his/her withdrawal by providing in writing the intent to withdrawal to the Center Director of the International Study Center.
  • Study Group USA Higher Education LLC dba International Study Center terminates the student's enrollment for failure to maintain satisfactory progress; failure to abide by the rules and regulations of Study Group USA Higher Education LLC dba International Study Center or its partner; absences in excess of maximum set forth by Study Group USA Higher Education LLC dba International Study Center or its partner; and/or failure to meet financial obligations to the International Study Center or its partner.
  • Failure to return from a leave of absence.

The amount owed to Study Group USA Higher Education LLC dba International Study Center equals:

Semester: For students who withdraw at any point in the first four weeks, Study Group USA Higher Education LLC dba International Study Center may retain the charges applicable to the first four weeks. For students who withdraw after the first four weeks but before or at the mid-point of the semester, Study Group USA Higher Education LLC dba International Study Center may retain a prorated amount of tuition. For students who withdraw after the midpoint, Study Group USA Higher Education LLC dba International Study Center may retain all of the charges for that semester.

Prorated refunds will be calculated on a weekly basis. When determining the number of weeks, Study Group USA Higher Education LLC dba International Study Center will consider a partial week the same as if a whole week were completed, provided the student was present at least one day during the scheduled week.

Subsequent Semesters: For students who withdraw after completing the first semester but before or at the midpoint of any subsequent semester, Study Group USA Higher Education LLC dba International Study Center may retain a prorated amount of tuition up to the midpoint. For students who withdraw after the midpoint of any subsequent semester, Study Group USA Higher Education LLC dba International Study Center may retain all of the tuition for that semester.

Study Group USA Higher Education LLC dba International Study Center is not obligated to make refunds to students who are terminated due to violation of the International Study Center's written disciplinary and/or attendance policies or local, state, or federal law or those of its partners.

For payments beyond the current semester: For students who withdraw or are withdrawn prior to the next semester, all charges collected for the next semester will be refunded.

Charges Other Than Tuition: All extra costs, such as university fees, laboratory fees, rentals and any similar charges are not included in the tuition price and are non-refundable. These fees include university fees, lab fees and activity fees. These fees and their relevant charges are itemized on student invoices and statements.

Students are bound by the terms as defined in any student housing agreements.

Non-refundable charges. The following are the non-refundable charges referenced above:

  • Registration fee: $350
  • Courier fee: $150

Payments: Any amount of the refund in excess of the unpaid balance shall be paid within 45 days of the date of determination. If any portion of the tuition was paid from the proceeds of a third party, the refund shall be sent to the third party.

Academic Scholarships:

Study Group USA Higher Education LLC dba International Study Center offers scholarships to recognize strong academic achievement.

  1. Scholarships are offered during specified dates and students will be notified when applications are available to apply
  2. Scholarships are available for undergraduate applicants that meet specified academic entry criteria as determined by Study Group USA Higher Education LLC dba International Study Center
  3. Scholarships may only be applied to the final 2 semesters of the International Year 1 or Global Gateway Program
  4. If a student is awarded a scholarship, they will be notified in writing within 30 days.
  5. If a student is awarded a scholarship and subsequently cancels or defers their program, the scholarship is forfeited. Any remaining funds for the scholarship are also cancelled.
  6. Government sponsored students are not eligible for scholarships

Study plan changes

  1. Upon arrival, students will be given a placement examination to assess their English language level. Many institutions also require an assessment in Math. As a result, the length of study may be longer than originally anticipated, incurring extra costs for which the student will be responsible.
  2. Students are required to complete their study plan by remaining on campus for consecutive Fall, Spring and Summer semesters.

Progression

Progression at the end of any given semester is dependent on successfully passing all courses in that semester and necessary progression requirements. Partner institutions may have additional requirements for progression. These additional requirements will be reviewed during orientation. On successful completion of the program/course and having achieved the progression requirements the student will be entitled to proceed directly to your degree program at the respective institution.

Undergraduate students are conditionally accepted to a university, not necessarily into a particular program of study. The university reserves the right to impose additional academic requirements post arrival (such as minimum grade point average) before a student is formally admitted into a particular program of study.

Insurance

All students are required to be properly insured. StudyCare or university-based insurance will be automatically added to your booking, unless proof of comparable insurance is provided upon application. Please note that StudyCare includes services beyond typical health insurance policies in the United States, e.g. cancellation, emergency repatriation, personal liability etc.

US-based health insurance is mandatory for all students. Insurance policies based in countries outside of the United States will not be accepted as reasonable substitutes. While Study Group USA Higher Education LLC dba International Study Center provides StudyCare Insurance, some Institutions will require students to have a student health insurance policy directly from the institution instead. Insurance coverage begins upon arrival and insurance cards are issued post arrival on campus.

Damage and Liability

Any reference in these terms to liability of students shall also infer liability on the parent or financial sponsor, and such liability is joint and several. Students are responsible for payment for any damage caused by them to Study Group USA Higher Education LLC dba International Study Center/institution property, including fixtures and fittings in university-approved accommodation. Occupants of shared accommodation are jointly and severally liable for the proper care of rooms, fixtures and fittings and the university reserves the right to recover costs for damage or exceptional cleaning.

Publicity

Students (and their parents or guardians, where applicable) agree that their images and sound, details and achievements may be used in any media for promotional purposes without written consent or notification. This includes permission to pass them on to third parties (agents, publications, etc.) at our discretion as long as the images are used to publicize Study Group USA Higher Education LLC dba International Study Center programs.

Data protection

Any information provided to Study Group USA Higher Education LLC dba International Study Center may be held on computer and shall be used in accordance with US law, including FERPA, HIPAA, and ADA. Study Group USA Higher Education LLC dba International Study Center is an Equal Opportunities provider. Information provided to Study Group USA Higher Education LLC dba International Study Center is held and processed for the purpose of administering your application, and may be carried forward to your official student record, which holds data in electronic and paper form on your personal details, academic and administrative history and on relevant financial transactions. After you leave, the parts of your student record which the college or university needs to retain will be archived. Some information will also be processed for the purpose of managing our relationship with you as an alumnus. Other information will be destroyed. Throughout, your personal data will be held in accordance with current US data protection law.

Variation

No variation to these conditions is valid unless agreed in writing by the Center Director and approved by the Managing Director, North America provided always that the Study Group USA Higher Education LLC dba International Study Center reserves the right to make any addition, amendment or alteration to these conditions upon giving one semester's written notice of such change to all affected students.

Communication

All students must supply Study Group USA Higher Education LLC dba International Study Center with personal e-mail addresses and mobile/cell numbers prior to arrival, in order that communication, to include transmission of student reports, may be maintained at all times. Please also advise of any changes as they occur.

Agreement and release

I apply to enroll the person named as a student of Study Group USA Higher Education LLC dba International Study Center. I agree to pay all fees incurred by the student as they become due, and either give the required notice of cancellation or to pay the required fees in lieu of notice. I agree to abide by the terms and conditions of Study Group USA Higher Education LLC dba International Study Center.

I give permission for the administration of first aid and appropriate non-prescription medication to my child, and give permission to Study Group USA Higher Education LLC dba International Study Center and designated representatives to seek medical, dental or optical treatment when required. I am the parent or legal guardian named. We do hereby authorize Study Group USA Higher Education LLC dba International Study Center and its assigned agents, and any designated program representative, as agents of the undersigned parents, to consent to any x-ray examinations, anesthetic, medical or surgical diagnosis or treatment, or hospital care which is deemed advisable by, and is rendered under, the general supervision of any licensed physician or surgeon, whether such treatment or diagnosis is rendered at the office of said physician or surgeon or at a hospital. It is understood that this authorization is not given in advance of any specific diagnosis, treatment or hospital care being required, but is given to provide authority and power on the part of aforesaid agents to give specific consent to any and all such diagnoses, treatments, or hospital care which the aforementioned physician or surgeon, in the exercise of her/his best judgment, may deem advisable.

We waive and release all claims against Study Group USA Higher Education LLC dba International Study Center and its agents for any injury, loss, damage, accident, delay or expense resulting from the applicant’s participation in the program. We also release Study Group USA Higher Education LLC dba International Study Center and its agents and agree to indemnify them with regard to any financial obligations or liabilities that the applicant may personally incur or any damage or injury to the person or property of others that the applicant may cause while participating in this program. We understand that the program begins with the outbound flight to the United States and terminates when the return flight lands. We realize that any airline’s liability for loss or damage to baggage or property, or for death or injury, is limited by the terms outlined by the airlines.

We also understand that it is our responsibility to obtain a passport and any required visa.

We understand that Study Group USA Higher Education LLC dba International Study Center is not responsible for any loss or injury suffered by the applicant at any time while participating in the program, including but not limited to losses or injury suffered during periods of independent travel or absence from the program. If the applicant becomes ill or incapacitated, Study Group USA Higher Education LLC dba International Study Center or its agents may take such action as it considers necessary, including securing medical treatment and transporting the applicant home at his/her own expense. We release Study Group USA Higher Education LLC dba International Study Center from all liability related to such actions.

We understand that the applicant’s participation in the program may be terminated at the discretion of Study Group USA Higher Education LLC dba International Study Center without any refund of fees and that the applicant may be sent home at his/her expense if he/she does not adhere to the U.S., State, and local laws and college/ university rules. We agree to accept full responsibility for personal expenses, books, any required additional language training and round trip air fare. 
In the event that Study Group USA Higher Education LLC dba International Study Center or its agents advances or loans any funds to the applicant or incurs special expenses on his/her behalf, we agree to make immediate repayment to Study Group USA Higher Education LLC dba International Study Center. We understand that this Agreement cannot be modified except in writing signed by Study Group USA Higher Education LLC dba International Study Center.

Applying for a visa

Once a student has been accepted, s/he will be provided with an I-20 from the United States Citizenship and Immigration Services (USCIS), issued by the participating college or university. This form will be sent upon receipt of deposit. An I-20 is required to start the process of obtaining a student visa to enter the United States. You will also be required to present financial documentation to the United States Citizenship and Immigration Services (USCIS) consular office in your country. We advise you to have a letter from your parents/guardian, financial sponsor or other source of support stating their responsibility for your expenses throughout. A bank statement or letter verifying their financial ability to cover your expenses should also be provided. The bank statement cannot be a copy; it must be original (per immigration law). The bank statement must be notarized and no older than six months. Also, in addition to the bank statement, we require an affidavit of support, which is an original letter from the student’s sponsor (such as parent or guardian), claiming financial responsibility for the student. This affidavit must also be notarized. If the student is self-sponsored, no affidavit is required. In the case of government sponsored students, the Financial Guarantee servRes as both the bank statement and the affidavit. We recommend that all students apply for their visa as soon as possible, and notify Study Group USA Higher Education LLC dba International Study Center directly once your visa status is known. Please notify your academic enrolment advisor when you have made an appointment, and notify your counselor with the outcome of that appointment.
